## Flink File Sharing and Exchange

Flink is our file sharing and exchange tool that allows you to upload and share documents specific to Projects, Clients, Expenses, and Actions within FunctionFox. Once uploaded, files can be accessed within the account by other users, or shared via email with clients or anyone who doesn’t have access to FunctionFox.

**Note: **The first 10GB of Flink files (Flink Tier 1) are free. If you exceed 10GB worth of files uploaded to your account, you will be charged an additional fee of $20 USD/month (Flink Tier 2). If you exceed 20GB worth of files, you will be charged $30 USD/month (Flink Tier 3), and so on. #### Flink File Categories

You can add custom **categories** (Media, Creative Briefs, Contracts, etc.) to categorize your uploaded files. On the Projects > Flink page, click on the Tips/Links and then on the <u>Manage Categories</u> link to add and manage your File Categories.

#### Uploading Files

To attach a file to your Project:

1. Go to **Projects > Flink** in the left menu.
2. Select the **Client** and **Project**.
3. Click the **Add File** button
4. In the Upload Files modal, click the **Browse Files** button to select files from your computer (you can upload multiple files up to 1GB in size).
5. Choose if you would like to post the uploaded files to the **Blog** (Premier & In-House subscriptions only).
6. Select the **Category** (optional).
7. Enter an optional **Subject** for the file(s).
8. Add an optional **Note** to the file(s)
9. Click **Upload**

Files can also be uploaded from other places within FunctionFox, such as:

- The **Projects > Manage** page.
- The **Project Info Modal**.
- **Projects > Expenses **(for attaching files like receipts and invoices).
- **Traffic > Blog** (Premier & In-House subscriptions only).
- The** Project Request Forms** (In-House subscriptions only).

#### Previewing Files

You can preview image files (JPG, PNG, GIF) without having to download them by hovering over the Download Link.

#### Downloading Files:

1. Choose a **Client** and **Project** to display all files that have been uploaded for that project. You can also filter uploads by Owner (the user who uploaded the file).
2. To download a file, click on the **Download Link**.

#### Emailing Files

1. To email a file to someone outside of FunctionFox, click on the **Email Download **icon. This will generate an email using your default email application with a link to download the file.
2. To email a file to someone outside of FunctionFox and allow them the ability to upload a file back, click the **Email Reply** icon. This will generate an email with a link to download the file as well as allow the recipient to upload a file back without requiring a FunctionFox login.

#### Editing Files

1. Files can be edited by clicking on the **edit **pencil.
2. Make your changes (including uploading a new file).
3. Click **Save Edit**.

#### Deleting Files

1. Click on the **delete** icon beside the file.
2. Click **OK** to confirm. Once a file has been deleted, it cannot be recovered.

#### Flink Admin

Users with access to the Flink Admin setting under their Access Level will find a link to the File Management page, as well as reports that can be used to monitor Flink usage, under the **Tips/Links** on the upper right-hand side of the Flink page

The File Management page allows you to view all files uploaded across all Clients and Projects or use the filters at the top of the page to filter files by File Type, Project Status, Archived or Unarchived Projects, or file Owner. Files must be downloaded individually. You can delete multiple files at once by checking the box next to each file and clicking **Delete Selected**.
