## Custom Fields

Custom Fields are used to capture additional information at the timesheet, client contact, or project level. When a Custom Field is added to FunctionFox, it can be viewed on the Timesheet page, Clients > Contacts page, or the Projects > Manage page, depending on the selected Field Location. 

Project fields are included along with the standard fields when adding/editing projects on the Projects > Manage page and are available to use on <u>[Request Forms ](https://functionfox.atlassian.net/wiki/spaces/GS/pages/39325189)</u>(In-House subscriptions only). Custom Field data can be included on select reports.

Classic accounts have 3 Custom Fields available to use across all Field Locations, Premier accounts have 10 Custom Fields, and In-House accounts have unlimited Custom Fields. Classic & Premier accounts can purchase additional Custom Fields for $5 USD/field per month. Reach out to our [Billing Department](mailto:billing@functionfox.com) for more information. 

#### To Add a Custom Field

1. Click on your initials at the top right, and then the **Settings & Preferences **gear icon
2. Click on the **Custom Fields** tab to access the Custom Fields Management page
3. Click the **Add Custom Field** button

Fill in the **Field Name** (max. 80 characters) 

Select the **Field Location**:

- **Contact**: Adds a Custom Field to the Clients > Contacts page
- **Project**: Adds a Custom Field to the Projects > Manage page and can be used on Request Forms
- **Timesheet**: Adds a Custom Field to the Timesheet page

Choose the **Field Type**:

- **Input Box **(max. 200 characters)
- **Text Area** (max. 4000 characters)
- **Pick List **(a drop-down menu where one item can be selected)
- **Pick List Multi-Select** (same as above, but with the ability to choose multiple options from the list)
- **Date picker**
- **Numeric**

Click** Save New **

4. Once a Custom Field has been added, you’ll see it listed in the Custom Field table and on the page that corresponds with your selected Field Location.

Use the Search field on the Custom Field Management page to search for a specific field name. The Field Location drop-down menu allows you to filter the Custom Field table by location. The Archived Fields toggle allows you to show/hide archived Custom Fields. 

#### Managing a Custom Field

**To Add New Options to a Custom Field Pick List:**

1. Go to **Settings & Preferences** and click on the Custom Fields tab
2. Click on the icon in the Manage Pick List column
3. Add your option in the Option field.
4. Click **Save New**

(**Note:** By default, pick list options are listed numerically or alphabetically).

**To Edit a Custom Field or Pick List Option:**

1. Go to Settings** & Preferences** and click on the Custom Fields tab
2. Click the edit pencil icon next to the Custom Field
3. Make your changes to the Field Name or Field Type. Field Location cannot be changed once a Custom Field has been saved.
4. Click **Save Edit**
5. To edit Pick List options, click the **Manage Pick List **icon. In the Custom Field Pick List Options pop-up, click the **edit** pencil icon next to the appropriate option. Make your change and click **Save Edit**.

**To Change Custom Field Order: **

1. Go to** Settings & Preferences** and click on the Custom Fields tab
2. Click within the Order Column and assign numbers to each field to order them accordingly per Field Location
3. Custom Fields will appear in selected order after the standard fields on each page (ex. Timesheet Custom Fields will appear in order after the Task field)

**Note: **The set order for Project fields does not apply to the Request Forms. 

#### Deleting & Archiving Custom Fields

**To Delete a Custom Field:**

1. Go to** Settings & Preferences** and click on the Custom Fields tab
2. Click the delete icon next to the field and confirm. (**Note:** Deleting a Custom Field does not delete the field data, only hides it. The data captured by a deleted Custom Field will reappear under the next new Field added to that Field Location).

**To Archive/De-Archive a Custom Field (In-House Subscriptions Only): **

1. Go to** Settings & Preferences** and click on the Custom Fields tab
2. Click the **Archived** checkbox next to the Field.

To view/de-archive archived Custom Fields, move the Archived Fields toggle at the top of the page to ‘Showing Archived Fields’ 

Archived Custom Fields will not be visible on their respective locations or on any Request Forms, but the field data can still be included on select reports. 

#### Reporting on Custom Field Data 

**Project **Custom Fields can be included on the Advanced report, the Status report, and the Project List - Customizable report.

**Timesheet **Custom Fields can be included on the Client Report, Personnel Report, Project Report, Advanced Report and the Custom Report in Report Type: Detail only. 

**Contact **Custom Fields can be included on the Contacts - Customizable report.

#### Purchasing Additional Custom Fields

If you need more fields than what is included in your Classic or Premier subscription, you can purchase additional Custom Fields for $5 USD/month per field. on the Custom Field Management Page, click **Update Subscription **to bring up the in-app purchase modal.
